Administration Executive (Japanese Communication Support)

This role is based at the Saizeriya Malaysia Head Office and plays an important part in supporting communication between our Japanese and local teams, while ensuring smooth day-to-day administrative operations.

Job Responsibilities

You will support both Japanese communication and general administration functions to ensure efficient Head Office operations.

Your responsibilities include:

 

Office Administration

  • Managing office supplies, stationery, and inventory
  • Coordinating office facilities and equipment maintenance
  • Handling incoming and outgoing mail, courier services, and deliveries
  • Managing telephone and visitor reception

 

Store & Facility Support

  • Coordinating with contractors and service providers for repair and maintenance matters

Documentation & Records Management

  • Preparing, organising, and maintaining company documents

HR & Employee Administration Support

  • Assisting with onboarding documentation for new hires
  • Supporting work permit and visa-related documentation

Government & Compliance Support

  • Assisting with licence renewals and regulatory documentation
  • Coordinating with relevant government authorities when required

Interpretation & Communication Support

  • Providing interpretation support between Japanese and local employees
  • Assisting with communication during meetings and discussions

Requirements

  • Malaysian citizen
  • Bachelor's Degree in any discipline

Position

Finance & Accounting Executive (Japanese Communication Support)

This role is based at the Saizeriya Malaysia Head Office and supports the Finance Department in daily accounting operations, financial reporting, and communication with Japanese management.

Job Responsibilities

You will support accounting operations, financial reporting, and communication between the local Finance team and Japanese management.

Your responsibilities include:

 

Accounts Payable (AP)

  • Verifying supplier invoices against Purchase Orders (PO) and Goods Receipt Notes (GRN)
  • Reviewing supporting documents for accuracy and completeness
  • Processing supplier payments in accordance with company procedures
  • Performing supplier statement reconciliation

 

e-Invoice, SST & Tax Compliance

  • Preparing and submitting e-Invoice records in accordance with LHDN requirements
  • Supporting SST documentation and reporting activities
  • Assisting with Withholding Tax (WHT) calculations and submissions
  • Ensuring compliance with applicable tax regulations

 

General Accounting

  • Recording and maintaining accounting transactions in AutoCount
  • Preparing journal entries and account reconciliations
  • Managing accruals and prepayments
  • Performing monthly bank reconciliations
  • Supporting month-end and year-end closing activities

 

Fixed Asset Management

  • Maintaining the fixed asset register
  • Monitoring asset acquisitions, disposals, and transfers
  • Supporting periodic fixed asset verification exercises

 

Inventory Accounting Support

  • Performing inventory reconciliations
  • Investigating stock discrepancies and variances
  • Reviewing inventory adjustment documentation
  • Supporting month-end inventory valuation and cost calculations
  • Coordinating with Operations teams regarding stock-related matters

 

Financial Reporting & Analysis

  • Assisting in the preparation of monthly management reports
  • Supporting budgeting and expense control activities
  • Preparing financial analysis and management information as required

Store Operations Financial Support

  • Reconciling POS sales records with daily sales reports
  • Reconciling cash collections and bank deposits

Communication & Interpretation Support

  • Assisting communication between Japanese and local team members
